Add your team
Add people one at a time, or your whole team at once from a spreadsheet.
Who: The owner or an Admin.
Adding many people? Use a spreadsheet
Go to Users, open the ⋯ menu and choose Import from a spreadsheet. Then:
- Press Download template and fill in one person per row. First name, last name and email are required; the rest is optional. Your own spreadsheet works too if its columns have similar names.
- Dates go day first (01/04/2024). Monthly gross salary is per month, before deductions.
- A new Department in the file is created for you. Reports to (email) is their manager’s email, someone already here or in the same file.
- If you use leave, the template has a Leave left column for each leave type: the days each person has left this year, carried over from your old system.
- Press Choose a file. Every row is checked and anything wrong is listed by row number. Nothing is added until the whole file is right.
- When it says everyone is ready, press Add and wait for it to finish.
Or add one person
Go to Users and press New user.
Fill in who they are
- First name, Last name and Email — they sign in with this email.
- Role — Admin can manage people, settings and every module. User is for everyone else: they use the app for their own work.
- Department and Designation, and who they Reports to (their manager).
- Employee ID is filled in automatically from your company prefix. You can type your own instead.
- Date of joining — leave and payroll use it.
- Salary (monthly, INR) — the monthly gross, not the yearly CTC.
Decide payroll and leave
- Include in payroll — on for anyone you pay through Kyvora. Off means no payslip and no salary is calculated.
- Intern — interns get unpaid leave only, and no paid balance builds up.
Give them a password
Set a password and share it with them. They can sign in as soon as you create the account, and can change the password from My Profile.
